ORAL, E-POSTER AND VIDEO SUBMISSION

Instructions for Late Breaking Oral, E-Poster and Video Presentation

E-AHPBA 2021 Biennial Congress invites all interested individuals to submit abstracts for late breaking oral, electronic poster and video presentations.

  • Late Breaking Abstract Submission deadline: 3 June 2021 (2350hrs GMT + 1hrs) EXTENDED
  • Notification of Late Breaking Abstract Acceptance: 15 June 2021


Late Breaking Abstract Submission Instructions

  • Abstracts shall be submitted electronically through the Congress website.
  • The abstract must be written in English.
  • Abstracts for oral session, electronic poster and video presentation are limited to 250 words / 2500 characters.
  • One table and/or one image may be included in the abstract and will count as one word each in your word count.
  • Tables/Images must be placed at the end of your abstract.
  • For video presentations no video is required to be submitted at this stage, if accepted you will be invited to upload a video in preparation for the Congress.
  • Abstracts which have been previously presented at national meetings can be submitted to E-AHPBA.
  • Work presented at national meetings or international meetings other than E-AHPBA may also be submitted to E-AHPBA.
  • Work which has previously been presented at E-AHPBA should not be re-submitted.
  • In relation to clinical work, it is encouraged that all work should have been reviewed and approved by institutional or regional ethics boards and that all co-authors must be familiar with the final submitted abstract.
  • In relation to basic science work, it is obligatory to provide a statement in the text of the abstract confirming ethics committee review of work.
  • Note that case reports are not specifically excluded but the rejection rate of case reports is high.  A case report should only be submitted if it represents a genuine advance in knowledge.
  • All successful abstract presenters will be notified and must register for the meeting.
  • Accepted abstracts will be published in an online congress supplement of E-AHPBA’s official partner journal HPB.
  • When you submit an abstract online, your abstract will automatically be edited according to the E-AHPBA 2021 Biennial Congress submission formats.
  • Late submissions after 3 June 2021 will not be accepted.

Structure

The abstracts should be structured in the following four sections:

  • Introduction: indicates the purpose of the study 
  • Methods: describe pertinent experimental procedures 
  • Results: summarize the results of the research 
  • Conclusion: state the main conclusions

Topics

The authors should choose one topic only for every abstract submitted.  If an abstract relates to more than one of the topics below, please select the most appropriate one.

General Information

  • Presenters are only permitted to submit a maximum of 2 abstracts for oral presentation.  No limit is set for abstracts submitted for video or e-Poster presentation.
  • It is the author’s responsibility to submit a correct abstract.  Any errors in spelling, grammar, or scientific fact will be published as typed by the author, if accepted.  Poor English may be a cause for rejection.
  • If you do not complete the submission process, your information will be held in “draft” until you return later to complete your submission.  Please note that your abstract must be fully submitted, before the deadline of 3 June 2021, to be considered for the Congress. 
  • Changes to the abstract are possible until 3 June 2021 through your Personal Page, which can be accessed with the password included in the electronic acknowledgement of receipt.
  • The submitting author will receive all correspondence concerning the abstract and is responsible for informing the other co-authors of the status of the abstract.
  • Acknowledgement of abstract submission will be sent to the stated email address.  If you do not receive the confirmation within 24 hours of submission, please contact E-AHPBA 2021 Abstract Department at eahpba2021.scientific@eahpba.org.  
  • Notification of acceptance/rejection of the late breaking abstracts will be emailed on or after 15 June 2021.
    Full oral presentation specifications will be made available on the website and forwarded with the abstract acceptance. 
  • Electronic poster presentation will be uploaded in advance of the Congress.  Details will be available on the website and forwarded with the acceptance notification.  
  • Upon acceptance of the abstract, all late breaking presenting authors are expected to register and present their abstract at the congress.  Abstracts will be published in the Congress Book of Abstracts only if the late breaking presenting author has registered and is fully paid by 22 June 2021. Late Breaking presenting authors not registered and paid by 22 June 2021 may have their abstracts removed from the Book of Abstracts.

Submission of Manuscripts for HPB 

E-AHPBA 2021 Biennial Congress would like to encourage manuscript submission to HPB, although not mandatory.  Any such manuscripts will be accelerated through the review process - however publication is not guaranteed.
